Privacy policy
1. General Information and Controller
This privacy policy explains how I process personal data on my website www.speakstevens.com and in the course of my work as a language service provider, translator and interpreter. I process your data solely on the basis of the applicable legal provisions, in particular the General Data Protection Regulation (GDPR), the Austrian Data Protection Act (DSG) and the Austrian Telecommunications Act 2021 (TKG 2021).

2. Hosting by Squarespace
My website is built and operated with the website builder Squarespace. The provider is Squarespace Ireland Limited, Le Pole House, Ship Street Great, Dublin 8, Ireland. Squarespace processes the data generated when you visit the website on my behalf.
I have a data processing agreement (Data Processing Addendum) with Squarespace in accordance with Art. 28 GDPR. It ensures that Squarespace processes your data only on my instructions and in compliance with the GDPR.
Data may also be transferred to the parent company Squarespace, Inc. in the United States. Squarespace, Inc. is certified under the EU-U.S. Data Privacy Framework, which is covered by an adequacy decision of the European Commission dated 10 July 2023 (Art. 45 GDPR). In addition, the data processing agreement includes the EU Standard Contractual Clauses (Art. 46 GDPR).
The legal basis is my legitimate interest in providing my website securely, reliably and efficiently (Art. 6(1)(f) GDPR).

3. Server Log Files
When you visit my website, Squarespace automatically records technical information transmitted by your browser. This includes:
IP address
date and time of access
page visited and previously visited page (referrer URL)
browser type, browser version and operating system
This data is required to deliver the website and to protect it against attacks and misuse. I do not combine it with other data sources. The legal basis is my legitimate interest in the secure and proper operation of the website (Art. 6(1)(f) GDPR).
4. Cookies and Web Analytics
My website uses cookies. These are small text files that your browser stores on your device. They do not cause any harm. On your first visit, a cookie banner informs you about their use. Non-essential cookies are only set once you have given your consent.
The legal basis is Section 165(3) TKG 2021 in conjunction with my legitimate interest in a functioning website (Art. 6(1)(f) GDPR).
Squarespace Analytics
If you consent via the cookie banner, I use Squarespace Analytics. This gives me statistical reports, for example which pages are viewed how often and how visitors reach the website. For this purpose, Squarespace sets analytics cookies. The data is processed by Squarespace as a processor (see section 2).
The legal basis is your consent (Section 165(3) TKG 2021, Art. 6(1)(a) GDPR). You can withdraw your consent at any time with effect for the future by reopening the cookie settings or deleting the cookies in your browser.

Browser settings
You can set your browser to notify you when cookies are set, to allow cookies only in individual cases, or to block them altogether. If you disable cookies, some features of the website may not work properly.
5. Contacting Me
If you contact me by email or phone, I store the information you provide in order to handle your enquiry and any follow-up questions. I do not pass this data on to third parties without your consent.
The legal basis is taking steps prior to entering into a contract (Art. 6(1)(b) GDPR) where your enquiry concerns a possible assignment. In all other cases, it is my legitimate interest in responding to your enquiry (Art. 6(1)(f) GDPR).
I delete your enquiry once it has been fully dealt with, unless statutory retention obligations apply or it results in an assignment (see section 6).
6. Processing for Translation and Interpreting Assignments
When you commission me, I process your contact and billing details as well as the texts and documents you send me. These may themselves contain personal data. I treat all documents confidentially and use them exclusively to carry out the assignment.
The legal basis is the performance of the contract (Art. 6(1)(b) GDPR) and compliance with legal obligations (Art. 6(1)(c) GDPR).
I retain invoices and accounting records for seven years in accordance with Section 132 of the Austrian Federal Fiscal Code (BAO). I delete other assignment documents as soon as they are no longer needed for the assignment or for any warranty claims.
I only pass on your data where this is necessary to carry out the assignment, for example to my tax adviser. [Add if applicable: disclosure to colleagues or subcontractors, cloud storage, translation tools.]
7. Your Rights
Under the GDPR, you have the following rights:
access to your stored data (Art. 15 GDPR)

objection to processing based on legitimate interests (Art. 21 GDPR)

If you believe that the processing of your data violates data protection law, you can lodge a complaint with the supervisory authority. In Austria, this is the Austrian Data Protection Authority (Datenschutzbehörde), Barichgasse 40–42, 1030 Vienna, www.dsb.gv.at.
